Deferment Procedure

A. PROCESS

1. Definition

1.1 ’Course deferment’ means to differ the start date for commencing study in a course

1.2 ‘Module Deferment’ means to differ the remaining module(s) of a course the student is currently studying to resume at a later date.


2. Communication to Students

2.1 All students shall be briefed on the Deferment Policy and Procedure through:

  • Pre-course Counselling by Course Counsellors

  • New student orientation by Registry Department


2.2 The Deferment Policy and Deferment Procedure can also be found in the communication channels:
  • Student Handbook

  • City Metropolitan College website and

  • Notice Boards


2.3 The City Metropolitan Life clearly explains the following to the student that if the request is granted:
  • The implication on the status of the Student’s Pass;

  • The student may need to sign a new Student Contract or an addendum to the existing Student Contact



3. Circumstances in which a deferment application will be granted

3.1 Deferment of course
  • Student request with reason to defer his/her course commencement date to a later intake, student will be required to submit the Request for Deferment of Course/Module(s) (CC-EDT-C4.4.1c FM1);

  • Parent / Legal guardian’s written consent is required if the student is under 18 years of age;

  • The maximum allowable period for deferment is 6 months;

  • Make known to the student that he/she is only allowed a 1(one) time deferment of the course commencement date.


3.2 Deferment of module(s)
  • Student fill-up and submit the Request for Deferment of Course/Module(s) (CC-EDT-C4.4.1c FM1) to request to defer a module or the remaining yet to complete modules of the course he/she is studying;

  • Parent / Legal guardian’s written consent is required if the student is under 18 years of age

  • The maximum allowable period for the deferment shall be not more than 6 months or the allowable date to complete the course whichever is earlier;

  • Request for deferment must be approved by the Director – Academic



4. Administrative fees for Deferment

No administrative fee is charged for processing deferment cases.


5. Time Frame for processing a deferment case

City Metropolitan College shall complete the deferment process within 4 weeks from the date of submission of the request by student.


6. Deferment Procedure

For Course
  • The City Metropolitan Life Department received student’s request for deferment of course

  • Brief the student on the following:
    • Implication on the status of the Student’s Pass

    • Need to sign a new Student Contract or an Addendum to Existing Student Contract

  • Issue a new ‘Letter of Offer’ to student to process the deferment of course with new course intake date

  • Inform the respective marketing staff of the student’s deferment of course


For Module(s)
  1. City Metropolitan Life staff received the request for deferment of module(s) through submission by students who wish to defer the module(s) of the course that the student is studying is required to submit a request by filling up the ‘Request for Deferment of Course/Module(s) (CC-EDT-C4.4.1c FM1) with supporting documentation.

  2. The staff shall brief the student on the following:
    • Implication on the status of the Student’s Pass

    • Whether there is a need to sign a new Student Contract or an Addendum to Existing Student Contract

  3. The staff shall obtain approval from Director, Academic to process the request and thereafter, inform the student accordingly.

  4. The City Metropolitan Life staff shall follow the below procedures:
    • Student Selection Process (CC-EDT-PRO-C5.3.2a) for actions pertaining to application/renewal of Student’s Pass

    • Student Contract Management (CC-EDT-PRO-C4.2.1) for actions pertaining to Student contract

  5. File a copy of the approved request in the Student Portfolio file
